Appointment booking software for the real estate industry
There is no shortage of appointment booking software. Most tools are built for a single case: one person, one calendar, one meeting. In property marketing, that assumption doesn't hold. What gets booked is not your time but an appointment at a property — with changing responsibilities, an address not everyone should see, several prospects per slot, and a CRM in which everything has to end up.

Seven requirements
- Property-based, not person-based. What can be booked is the property, not the employee's calendar. If responsibilities change, the booking link stays valid — otherwise you have to resend links every time someone goes on vacation.
- Several prospects per appointment. Group viewings need a participant limit per slot, and participants must not be able to see one another.
- Booking wherever the property is advertised. Property listing, portal ad, your own website, email, Google listing: the booking path has to work everywhere, not just on one landing page.
- Address only after a binding booking. Anyone who is just browsing does not get the property address. This protects vacant properties and tenants.
- Connection to the agent's system. Properties should come from the CRM and booked appointments should flow back into it — otherwise you type every appointment twice.
- Cover and teams. Locations, teams and vacation cover have to be representable, including who receives which notification.
- Data protection with a reliable legal framework. Prospects leave their name, phone number and email address. Server location, deletion periods and the data processing agreement need to be clarified before the first appointment is booked.
Points 1, 4 and 5 are where general-purpose schedulers regularly fall short in property marketing.

Two more things are regularly needed in property marketing and rarely included: with gapless appointment scheduling, new bookings are placed right next to existing appointments — one trip, several viewings. And reservation protection holds the clicked time slot exclusively for three minutes while someone fills in the form: whoever selects an appointment gets the time to complete it, instead of finding out on submitting that someone else was faster. Separately, an appointment can never receive more participants than it has places — nobody has to take care of that.

If the calendar should live on your own website, there are three ways — from least to most effort:
- Booking button. A link or button leads to your timum booking page. No changes to the template, works in any CMS — explained step by step.
- Embedded widget. The booking calendar runs directly on your page, and prospects don't have to leave it (Booking widget, embedding guide). With custom branding: your logo, your colors, your email footer.
- Custom integration via the interface. Availabilities and bookings via REST API in your own portal (REST API, developer documentation).
If several properties should be bookable on one page, their free times come together in a shared appointment overview — prospects only have to choose the time.
What appointment booking software for real estate costs
Most providers charge per user. That is a poor fit for a business in which the number of properties fluctuates, not the number of employees.
